The Assistant Manager ensures excellent patient care is provided in our health centers.
They are responsible for learning the day-to-day operations of the health center and will be asked to step into this role on days when the Health Center Manager is not onsite.
This role assists the team with meeting health center productivity metrics and goals.
Provides support to the health center team by providing patient education and other aspects of patient care.
Provides administrative support to the Health Center Manager with regard to compliance, inventory and other daily tasks.
Requires an understanding of and commitment to advance Planned Parenthood’s mission.
This position may fulfill the cell phone reimbursement policy requirements.
PRIMARY DUTIES Health Center Operations Assists members of the department management and supervisory team Participates in planning and implementing improvements for services that ensure high quality customer service and medical care in the health center and clinical services department that reduce barriers to care Utilizes established scheduling systems to ensure maximum productivity and access for patients Assists team in increasing patient satisfaction by soliciting and tracking feedback and by responding to patient concerns.
Helps to train all center staff to be fully receptive to patients and to communicate effectively with them Accountable for fiscal assets, including doing deposits, tracking errors, ensuring computer batching accuracy and reconciliation, handling petty cash, and monitoring staff for compliance with fiscal standards and policies Assists in tracking center’s patient census, develops strategies to increase census and make goal, and works to involve whole team in goal achievement Assists in monitoring monthly revenue and expenses and work with Health Center Manager on maintaining fiscal goals Regularly checks and monitors the computer reports for accuracy in data entry.
Follows up with staff if further training is warranted Monitors and orders supplies in health centers.
Ensures that inventory is available for use, is properly stored, is of appropriate amount and is up to date Meets regularly with Health Center Manager to discuss site needs, prioritize tasks, share staff updates Counts monthly supply inventory and year-end property and supply inventories Personnel Responsibilities Part of hiring team for support staff Direct supervisor for center staff and monitors performance Responsible for job evaluations for center staff Makes immediate interventions as necessary for any performance concerns.
Keeps manager fully apprised of any and all concerns Assists in new staff training and ensures that all new staff receive appropriate training before they are allowed to function independently Monitors staff/clients interactions to ensure quality customer and client-centered care and adherence to policies OTHER DUTIES May attend and serve on affiliate committees or task forces if directed May attend and serve on community coalitions if determined to be conducive to achieving the goals of site(s) Contributes to the growth of the agency and of health centers by participating in goal setting, cost savings activities, internal patient marketing, increasing patient volume and is evaluated on this Assists in assessing patient and staff satisfaction and assists in redesigning system to achieve goals of site, department and agency Additional duties as assigned on HCM duty list which include: KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of: Fundamental concepts, practices and procedures of medical terminology and medical record documentation.
Fundamental concepts, practices and procedures related to CPT and ICD-10 coding.
Fundamental concepts, practices and procedures used in a medical office environment.
Skill in: Operating standard office equipment and using required software applications including Microsoft Office Knowledge of medical records management systems a plus.
Ability to: Gather information, identify linkages and trends, and apply findings to prepare possible testing and medical supplies needed during examinations.
Read and comprehend the patient's level of understanding of information being provided and make appropriate adjustments to method of delivery if needed.
Deliver test results and educational materials in an objective, medically factual, empathetic and compassionate manner.
Work under pressure on multiple projects concurrently and meet deadlines in a fast-paced work environment with frequent interruptions and changing priorities.
Communicate effectively both verbally and in writing.
Identify actions, behaviors, or responses that may indicate a patient is being coerced.
Provide a high level of customer service and handle stressful situations in a calm and professional manner.
Establish and maintain effective working relationships at all levels of the organization.
Read and comprehend simple instructions, short correspondence and memos.
QUALIFICATIONS Minimum Degree Required: o High School Diploma ~and~ At least 2 years’ experience working in a health care environment, preferably in a reproductive health setting.
Any equivalent combination of experience, education, and/or training approved by Human Resources.
Strong independent decision maker, ability and willingness to act within the best interests of PPSLRSWMO and our clients Must meet all of the requirements of the Health Center Assistant position.
Current driver’s license, current insurance and own/have reliable transportation.
